One-Time vs Subscription Lab Software: 3-Year Cost

One-time licence or monthly subscription for lab software? The real total cost over three years, what each model includes, and which suits your lab.

Lab software is sold two ways in India: a one-time licence with an annual maintenance charge, or a recurring subscription. Buyers usually compare the headline numbers, which is the one comparison guaranteed to mislead.

The quick answer

Over three years, a one-time licence plus AMC and a subscription often land closer together than either vendor implies. The decision is rarely settled by the total — it is settled by what happens if you stop paying, what an upgrade costs, and whether your data leaves with you.

Build the comparison properly

For each option, add up every line below across the same period. Three years is the right window: shorter flatters the subscription, longer flatters the licence, and three is roughly how long a small lab keeps a system before seriously reconsidering.

  • The licence fee or the subscription across all 36 months.
  • Annual maintenance, support or "update" charges — and whether they are optional in practice.
  • Per-user or per-branch charges as you grow. Ask what a second counter costs.
  • Any cloud, backup, SMS or WhatsApp charges billed separately from the software.
  • One-off setup: installation, data migration, catalogue entry, training.
  • Analyzer interfacing, if quoted per instrument.
  • The cost of the hardware the software actually requires.

Two of those catch people out repeatedly. Per-branch pricing turns a good deal into a bad one the moment you open a collection centre, and separately-billed cloud or messaging charges are easy to leave out of the comparison because they arrive on a different invoice.

What happens if you stop paying?

This is the real difference between the models, and it is worth more than any price gap. With a subscription, stopping usually means losing access — to the software and often to the data inside it. With a perpetual licence, lapsing the AMC typically means you keep running but stop receiving updates and support. Ask the question explicitly and get the answer in writing, because the two situations are not remotely equivalent.

What does an upgrade cost?

A licence sold as one-time that requires a paid upgrade every major version is a subscription with extra steps. Ask what the last two major upgrades cost existing customers.

Can you leave with your data?

Whatever you pay, you should be able to get your patient records, catalogue and historical results out in a usable format. Ask exactly what an export contains and try it during a trial rather than trusting the answer. Red flags in either model

  • A price that cannot be quoted without a sales call, at any size of lab.
  • AMC described as optional but with support withdrawn if unpaid.
  • "Unlimited users" that turns out to mean unlimited on one machine.
  • A migration or setup fee introduced after you have agreed the licence.
  • No trial, or a trial that will not accept your real data.
